OVERVIEW:
The Conference Speakers & Panels Coordinator role is a position in the content team, charged with delivering compelling content at our conferences, summits and mixer events. The format for these events may evolve over time. This role in particular focuses on our new EMEA/MENA/Asia events, and works in tandem with the existing Event Content planner who runs our UK/US/Europe conferences.
You will be required to outreach to speakers (via mails and presence at events), evolve the content schedules for our conferences (with support/direction from internal/external industry experts).
This role will work closely with the marketing team by managing the hands-on outreach to media partners and universities as well as support the event marketing from a content/speaker angle (e.g. providing lists of key speakers, suggesting people to interview, providing raw data for editorial/marketing approaches).
SPECIFICS:
Your key priorities will be:
- Building reputable and engaging content for our conferences, summits and mixers in EMEA/Asia/MENA
- Outreach to the industry to build contacts and promote the events, especially in emerging territories
The role will naturally evolve with market trends and the changing focus in the company, but your initial responsibilities and role can be broken down as:
EVENT CONTENT
- Managing the Content Planning Process: Lead regular planning meetings with advisors to collate suggested ideas, place speakers (see targeting docs) and plan ahead.
This may also include growing our ‘advisory’ board and evolving the process.
- Outreach to Speakers: Communicate with potential speakers via emails, calls, meets and confirm them, before they then get handed across to the Events Administrator in the event logistics team to manage details.
- Managing the Speaker Targeting Document: The content documents are super important for multiple teams and need updating regularly in a specific way. This will be the central document that you manage.
- Monitor Issues & Other events: We’d expect you to actively keep tabs on other events’ content strategy as well as dominant themes in the market - partly through monitoring their schedules online and games industry news and partly through attending key events.
- Support the events live as moderator/compere: Aside from planning/managing the content, you will also be expected to join the live events (as in Toronto) and support the team providing compere and panel hosting services.
MARKETING
- Integrate with the marketing and editorial team (on content marketing): Your experience working with the marketing team previously should make the whole feel more joined up and integrated and we’d like you to feed into the content-marketing side (this doesn’t mean doing the mails, etc, but more suggesting the angles, key speakers, etc) to the marketing and editorial teams.
- Continue with student and media partner marketing: Part of your role will also be to initiate and maintain relationships with local universities, institutions, organisations and trade groups, for the purposes of promoting our events to their communities.
About You
Skills/Experience
- Excellent communication skills, both written and verbal
- Excellent analytical and project management abilities
- Competence in Microsoft Office, particularly Excel and PowerPoint
- Strong organizational and time management skills
- Ability to work effectively in a fast-paced environment
- Minimum of 3 years experience in coordinating Events Content
- Minimum of 3 years of working within a marketing team
- Knowledge of B2B marketing strategies
